How to build a WhatsApp reply library for common customer questions

If your team types the same answers every day, a reply library gives customers faster, consistent answers. Build one in an afternoon, with AI doing the rewriting.

Look at your last hundred customer messages. A small number of questions probably make up most of them: price, availability, delivery time, location, payment methods, returns. A reply library answers these once, properly, so that every customer gets the same correct answer whoever is on duty.

What you need

  • WhatsApp Business (the free app is enough to start)
  • An AI assistant
  • Two hours from the person who knows the correct answers

Step 1: Collect the real questions

Scroll through recent chats and write down each different question. Do not guess. Use the customer's own words. Stop when you stop finding new questions; this usually happens at 15 to 20.

Step 2: Write one approved answer per question

For each question, write the correct answer yourself, or get it from the person who knows best. Accuracy matters more than style at this stage. Include the details customers ask about next, such as timings, the area you deliver to, and how to pay.

Step 3: Use AI to improve and adapt the answers

Give your AI assistant each approved answer and ask for the versions you need.

A prompt you can adapt:

Here is the correct answer to a customer question for my [type of business]: "[your approved answer]". Rewrite it in three versions: (1) a short WhatsApp quick reply under 40 words, (2) a friendlier version under 80 words, (3) the short version in simple Hindi written in English letters. Keep every fact, number and timing exactly as I wrote it. Do not add anything that is not in my answer.

Then read each version and correct anything that changed. AI sometimes "improves" a fact. That is why the instruction to keep every fact matters, and why you read before you save.

Example: one question, three versions

A made-up clothing shop, used only to show the pattern.

  • Approved answer: We deliver inside the city in two days. Delivery is free above a minimum order; below that there is a small charge. Payment by UPI or cash on delivery.
  • Short: "We deliver in the city within 2 days. Free delivery above our minimum order. UPI or cash on delivery."
  • Friendly: "Thank you for asking! We deliver anywhere in the city within 2 days. Delivery is free above our minimum order, and you can pay by UPI or cash on delivery. Shall I book your order?"
  • Hindi in English letters: "Hum city me 2 din me delivery karte hain. Minimum order ke upar delivery free hai. Payment UPI ya cash on delivery se kar sakte hain."

Step 4: Save them where the team can use them

In WhatsApp Business, save each answer as a quick reply with a short name such as /price, /delivery or /returns. Typing the slash shows the list. Share the full library in one document as well, so that new team members can learn it.

Step 5: Decide what a person must always handle

Some messages should never get a ready-made answer:

  • complaints and unhappy customers
  • refund and replacement requests
  • special prices and negotiations
  • anything you have not seen before

Step 6: Review every month

Prices, timings and policies change. Put a monthly reminder in your calendar to check every answer, and add any new question that came up more than three times.

Mistakes to avoid

  • Writing answers from memory. Check prices and timings before you approve an answer.
  • Too many replies. Twenty good answers are used. Eighty are ignored.
  • Sending a ready reply to an angry customer. Read the message first.

A note on automation

Automatic replies and chatbots can come later, once your library is trusted. Start with people sending good answers quickly. Automating wrong or unclear answers only spreads the problem faster.
